How to Scale Your Spokespeople & Secure 40+ Podcast Appearances (Without Overwhelming Your Busy Experts)
OVERVIEW
If you want to expand your organization’s media reach, you can’t rely on the same two or three overworked executives to do every interview.
The National Funeral Directors Association (NFDA) recognized this issue. They had a deep network of brilliant subject matter experts, people who are master communicators in person but had rarely, if ever, sat in front of a podcast microphone.
We needed to turn this group of podcast novices into highly requested guests.
By designing a low-stress, high-efficiency onboarding and briefing pipeline, we took the coordination burden entirely off the internal team’s plate. We activated these first-time guests to secure 40+ high-impact podcast appearances in a single campaign cycle—all while keeping them perfectly on-brand.
POWERED BY RESULTS
Nearly 10 industry leaders booked on podcasts
40+ guest appearances
97% average message pull-through rate across all episodes
THE CLIENT
NFDA is the worldwide source of expertise and professional resources for funeral service. They serve more than 20,000 individual members representing more than 11,000 funeral homes in the United States and internationally. Their mission is straightforward: to advance funeral professionals, their businesses and the profession, for the good of the families and communities they serve.
THE PROBLEM
For a Communications Director or VP of Marketing, putting a non-marketer on a live, unscripted podcast for 45 minutes is terrifying. Unlike highly controlled, 30-second TV soundbites, long-form audio is casual and unpredictable.
This format created two distinct problems:
- The "Unstructured" Format Shock: Because podcasts shift organically, first-time guests often feel immense pressure to perform, leading them to either freeze up or ramble off-topic.
- The Script Crutch: To protect themselves, novices naturally want to read from rigid, pre-written talking points. But scripts instantly destroy the authentic, conversational vibe that podcast hosts and listeners demand.
- The Time Squeeze: Your subject matter experts are busy running their businesses or departments. They do not have time for weeks of intensive, one-on-one media training.
We had to find a way to get these experts completely comfortable on mic, keep them tightly aligned with NFDA’s strategic messaging, and do it in under 30 minutes of their actual time.
THE STRATEGY
We realized that scaling a media bench requires protecting your experts’ calendars. We broke our strategy down into three highly efficient, low-friction phases:
The Pre-Show Alignment Briefing
To get our spokespeople ready, we bypassed technical rehearsals, long checklists, and gear requirements. Instead, we focused purely on eliminating the fear of the unknown.
Before every recording, we provided the designated guest with a direct, high-impact brief focusing on two key elements:
- The Host & Show Background: We gave them a quick, clear profile of who they were talking to, the host’s typical interviewing style, and what the listeners expected.
- The Pitch Blueprint: We walked them through the exact angles and talking points we promised in our pitch. This showed the guest exactly what the host was excited to ask them, setting clear boundaries for the conversation.
Why this worked for the client: By spending less than 15 minutes reviewing this real-time context, busy executives could step onto the mic with absolute clarity and zero technical or mental fatigue.
The Message Pull-Through Playbook
Instead of trying to write custom, memorized scripts for over two dozen individuals, we built The NFDA Spokesperson Playbook, a single, highly adaptable framework.
We focused the playbook on the association’s core consumer-facing pillars (including the Remembering A Life consumer education initiative and the true value of a funeral). Through interactive, group-based training webinars, we coached the team on:
- The Core Pillars: Ensuring every spokesperson naturally understood the primary messages we needed to land.
- Linguistic "Bridges": Teaching them simple, conversational transition phrases to gently guide a rambling host back to the association's key points without sounding defensive.
- The Conversation Mindset: Reframing the experience from a high-stakes "interview" to a relaxed conversation with a peer.
Topic-Led, Expertise-Matching Pitching
We didn’t start with a slow, cautious “warm-up” phase that delayed high-value bookings. Instead, we took the entire pitching and coordination burden off the NFDA team by matching specific expert niches directly to relevant shows.
- Topic-to-Show Alignment: We mapped out our spokespersons' specific areas of expertise (e.g., green burials, youth grief, estate planning). Then, we pitched them to highly specific consumer shows where those topics were already in demand.
- Immediate High-Impact Bookings: Rather than generic PR outreach, this relevant positioning allowed us to bypass industry-only shows and immediately secure prime guest spots on major parenting, lifestyle, finance, and wellness podcasts.
THE OUTCOME
By handling the strategy, pitching, and pre-show alignment behind the scenes, we built a highly reliable, brand-safe media bench.
| Metric | Result | What It Means for the Client |
|---|---|---|

| Message Pull-Through Rate | 97% Average across all episodes | Guests stayed perfectly on-brand and hit key points naturally—never sounding scripted. |
Key Takeaways for Marketing & Communications Leaders
- Protect Your Experts’ Time: You don’t need to turn your subject matter experts into professional PR reps. If you give them the right pre-show context and alignment, they will deliver a brilliant, natural interview in their own authentic voice.
- Unlock Operational Freedom: When you build a systematic way to brief and book a broader team, your media presence is no longer bottlenecked by a single busy executive.
- Build Host Retention: Because our experts showed up relaxed, deeply knowledgeable, and well-prepared, multiple hosts immediately requested follow-up appearances or asked for additional NFDA experts for future episodes.
